Shipping, returns, privacy and terms — everything you need to know before and after ordering from Coastal E-Kits.
Shipping Policy
We ship all orders from the UK. In-stock items are typically dispatched within 1–3 working days, with delivery usually taking a further 2–4 working days via tracked courier. You'll receive tracking details by email once your order is on its way.
Delivery Costs & Times
- UK mainland delivery is calculated at checkout based on the weight and size of your order.
- Larger items such as complete conversion kits and motor wheels may carry a handling surcharge.
- Scottish Highlands, Northern Ireland, the Isle of Man, and offshore/island addresses may incur additional cost and longer transit times.
- Delivery estimates are guidelines, not guarantees. We are not liable for courier delays outside our control.
Batteries & Lithium Items
Lithium-ion batteries are classed as dangerous goods and are shipped in line with UK courier and carriage regulations. They may travel separately from the rest of your order and cannot be sent by standard air freight, so battery deliveries can occasionally take a little longer. A signature may be required on delivery.
Checking Your Order
Please inspect your delivery on arrival. If a parcel appears damaged in transit, note it with the courier where possible and contact us within 48 hours (see Returns).
Local Collection & Fitting
If you're within our West Cornwall service area (Land's End to Truro), you can choose local collection or in-person fitting instead of shipping. Get in touch to arrange a date and a quote.
Returns & Refunds
No-refunds policy. Due to the nature of the electrical and battery products we sell, Coastal E-Kits does not offer refunds for change of mind, ordering the wrong item, or buyer's remorse. We only accept returns, replacements or repairs where a product is faulty or incompatible, as set out below. This does not affect your statutory rights under UK consumer law.
Faulty Products
If a product develops a fault, or arrives faulty or damaged, contact us within 48 hours of delivery for transit damage, or as soon as a fault appears in normal use. Where a fault is confirmed, we will — at our discretion — repair the item, send a replacement, or where neither is possible, provide a refund of the faulty item. You may be asked to provide photos, video, or to return the item for inspection.
Incompatible Products
If a product is genuinely incompatible with the bike or components it was bought for, we'll work with you to find a suitable alternative or accept a return of the unused, unfitted item. To qualify as incompatible:
- The item must be unused, uninstalled and in its original, undamaged packaging.
- You must contact us within 14 days of delivery to start the process.
- We strongly recommend checking compatibility with us before ordering — we're happy to advise.
What We Cannot Accept
- Used, fitted, modified or damaged items (unless faulty).
- Batteries or electrical components that have been installed, wired in or charged, unless confirmed faulty — this is a safety requirement.
- Returns requested for change of mind or incorrect self-selection where the product is not faulty or incompatible.
How to Make a Claim
Contact us at hello@coastal-ekits.store with your order number and a description of the issue. Where a return is approved, we'll provide return instructions. For faulty or incorrectly supplied goods we cover reasonable return postage; for incompatible items, return postage is the customer's responsibility. Approved refunds (for faulty items) are processed to your original payment method within 14 days of us receiving and inspecting the goods.
Privacy Policy
Coastal E-Kits ("we", "us", "our") respects your privacy and is committed to protecting your personal data. This policy explains what we collect, why, how we store it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Who We Are
Coastal E-Kits is a UK-based supplier of ebike conversion kits and components, based in Penzance, Cornwall. We are the data controller responsible for your personal data.
Information We Collect
- Enquiry details — your name, email address, message, and any optional bike or frame details you choose to provide via our contact form.
- Order & delivery information — name, delivery and billing address, and contact details needed to fulfil an order.
- Payment information — handled directly by our payment provider; we do not store full card details on our servers.
- Technical & usage data — basic, often anonymised, analytics such as pages visited and device/browser type, used to maintain and improve the website.
How & Why We Use It
- To respond to your enquiries and provide build advice (lawful basis: legitimate interest / steps prior to a contract).
- To process, fulfil and support your orders (lawful basis: performance of a contract).
- To meet legal, tax and accounting obligations (lawful basis: legal obligation).
- To improve our website and services (lawful basis: legitimate interest).
We do not sell or rent your personal data to anyone.
Sharing Your Data
We only share data with the third parties necessary to run our business — for example couriers (to deliver orders), our payment provider, our website/form host, and professional advisers where required by law. These providers process your data on our behalf under appropriate agreements.
Cookies & Analytics
Our site may use essential cookies and privacy-respecting analytics to function and to understand traffic. You can control or block cookies through your browser settings; doing so may affect some site functionality.
Data Retention
We keep enquiry data only as long as needed to deal with your query, and order records for as long as required for legal and accounting purposes (typically up to 6 years), after which they are securely deleted.
Your Rights
Under UK GDPR you have the right to access, correct, delete, restrict or object to the processing of your personal data, and the right to data portability. To exercise any of these, contact us at hello@coastal-ekits.store. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Terms & Conditions
These terms govern your purchase and use of products from Coastal E-Kits. By placing an order you confirm that you have read, understood and agree to them. Please read them carefully, paying particular attention to the section on intended use and legal riding below.
1. Intended Use — Private Land & Legal Riding Only
Our conversion kits, motors and batteries are sold strictly for use on private land, or on land where the resulting vehicle is legally permitted to be ridden. They are not sold or intended for use on public roads, cycle paths, bridleways, pavements or other public rights of way.
- Many of our kits are capable of power and speed outputs that exceed the limits for an Electrically Assisted Pedal Cycle (EAPC) and would, once fitted, classify the vehicle as a motor vehicle (such as a moped or motorcycle) under UK law.
- Such a vehicle may not legally be used on public roads or in public places unless it is registered, taxed, insured, type-approved and ridden with the appropriate licence and helmet — requirements that a converted bicycle typically cannot meet.
- By purchasing, you confirm that you will only use the products on private land you own or have permission to use, or on land where such use is otherwise lawful, and that you will not use them on public roadways or public places where they are not road-legal.
2. Customer Responsibility & Compliance
It is entirely the customer's responsibility to understand and comply with all applicable laws and regulations regarding the construction, ownership and use of their build, including EAPC rules, power and speed limits, and any registration, insurance or licensing requirements. Coastal E-Kits accepts no responsibility or liability for any unlawful use of our products, or for any fines, penalties, prosecution or other consequences arising from such use.
3. Fitting & Liability
Where we provide local fitting, work is carried out with reasonable care and skill. For self-installed kits, installation is undertaken entirely at the customer's own risk; we are not liable for any damage, injury, loss or fault arising from incorrect installation, modification, misuse, or failure to follow the supplied guidance. Always follow the install instructions provided or seek professional fitting. Electric bikes and high-power components carry inherent risks; riders are responsible for using appropriate safety equipment.
4. Pricing & Availability
All prices are shown in GBP and may change without notice. We make every effort to ensure pricing and stock information is accurate, but we reserve the right to refuse or cancel any order where an item is unavailable or where a pricing or description error has occurred. In such cases any payment taken will be refunded.
5. Warranty
Products are covered against manufacturing defects in line with the relevant manufacturer's warranty. Warranty does not cover damage caused by misuse, accidents, unauthorised modification, incorrect installation, water ingress beyond the product's rating, or normal wear and tear. Our Returns & Refunds policy applies to faulty and incompatible items. Nothing in these terms affects your statutory rights under UK consumer law.
6. Limitation of Liability
To the fullest extent permitted by law, Coastal E-Kits' total liability arising from any product or order shall not exceed the price paid for that product. We are not liable for indirect or consequential losses. Nothing in these terms excludes liability for death or personal injury caused by our negligence, or for fraud, or any liability that cannot lawfully be excluded.
7. Governing Law
These terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
